House Account Operations Manager

To accommodate this growth, they seek a House Account Operations Manager to maintain and improve the CRM's functionality to service its highly valued freight broker agents, which includes strategic input and direction to improve processes regarding truckload, LTL, and Intermodal services. You will manage carrier relations support services and should be able to progress a load through the TGF CRM fully - including building, coverage, getting all necessary documentation, tracking, problem-solving, disputes, claims, adjustments, and finalizing charges.

 

 

Duties/Responsibilities

  • Research and record all vital information regarding the load, i.e., appointments, delays, proof of delivery documentation, and ensure the TallGrass Freight database is updated to the appropriate status (hold, delivered, etc.).

  • Reporting to internal and external customers in a timely fashion

  • Gather rate and delivery information on shipments for invoicing purposes

  • Notify Customer and update upon delivery with total charges and POD if necessary

  • Ensure each load is properly maintained and alert House Account Team if issues arise

  • Obtain Pro number and tracking statuses for LTL shipments

  • Ensure ongoing communication flows related to the statuses of open items occur in a timely and effective manner

  • Answer incoming and make outgoing check calls to carriers and customers to confirm the status of load pickup or delivery as conforming to customer requirements

  • Speak & communicate daily with carriers on load confirmation, pick up and delivery, acquisition of proof of delivery documents, as well as gathering information/details for any accessorial charges that may apply upon completion of delivery and enter all shipment information into the TallGrass system

  • Update the database with the most updated information regarding the status of shipments from online tracking or check calls. Add Pro Numbers, pickup dates, and estimated delivery dates accordingly.

  • Work proactively with House Account Team and its customers, informing them of issues arising from breakdowns, late deliveries, improperly loaded freight, and incomplete paperwork

  • Assist in pricing and coverage for House Account Team's customers for both LTL and Truckload

  • Create an environment of respectful, prompt, and efficient customer service relations with internal and external customers

  • Establish and maintain strong relationships with carriers and company stakeholders

  • Drives process improvement for business units to decrease costs and improve productivity

  • Drives processes to improve operational productivity

  • Maintain a professional work attitude among co-workers and clients

  • Maintain a high level of attendance, and report for work on time daily

 

Minimum Skills Qualifications

  • Exceptional communication skills (both written and verbal) and openness to providing feedback to help iterate the business

  • Demonstrated experience in developing and continually improving processes

  • Ability to work effectively in a business environment characterized by complexity, ambiguity, and rapid change

  • Excellent change management, organization, and prioritization skill

  • Trained on all documentation and record completion related to the truckload operation procedures

  • Ability to work in a fast-paced environment and come up with creative problem-solving ideas and methods

  • Strong self-discipline and time management skills

  • Proven ability to understand company needs and translate needs into solutions

  • Strong knowledge of Excel and other MS Office tools

  • Ability to professionally converse with customers, sales, management, and other colleagues daily

  • Experience directly communicating with carriers

  • Maintain a professional attitude among co-workers and clients

  • Excellent phone etiquette and communication skills (written and verbal)

  • Experience in Transportation Industry (TL, LTL, and Intermodal)

  • Self-motivated with the ability to work with minimal supervision

  • Strong work ethic, attention to detail, and strong follow through

  • Work well under pressure, able to multi-task and organize

  • Become affluent in carrier compliance processes required by TallGrass Freight
