Our client is an established KC company providing event and branding management services to known national sports non-profit organizations, including facilitating big-donor contributions. They seek a Hospitality Manager to ensure an exceptional guest experience. This role includes heading up the many details related to the event needs with host facilities, like a hotel, convention center, arena, etc., as well as vendors and providers of goods and services. This role works with the special guests, featured personalities, honorees, dignitaries, etc., in travel arrangements and on-site hosting. The hospitality manager will engage with the event team in the overall planning process and will also work directly with clients as the liaison with the team, the facility, and other partners. 

 

Primary Responsibilities 

  • Provide support in the hotel RFP process, selection, and contract negotiations. 

  • Help determine the best meeting spaces, function locations, schedule, and deliverables to reach event goals. 

  • Develop the timeline and execution plan of all hospitality aspects with the host facility. 

  • Create the food and beverage menus, pricing, and set up for all meal functions. 

  • Communicate needs and expectations to the hotel/facilities for all guest services, e.g., housekeeping, deliveries, bellman, concierge, amenities, security, etc. 

  • Coordinate all meeting space setup and maintenance with the facility.

  • Develop a rooming list for the hotel and coordinate fulfillment, daily reports, etc. 

  • Oversee development of BEOs and hold facility staff accountable for proper execution.

  • Help determine traffic flows and signage plan. 

  • Develop the décor and floral arrangements for appropriate functions. Identify and contract any transportation providers needed and oversee execution. 

  • Coordinate the plan, people, and logistics associated with integrating the event furnishing inventory. 

  • Work with special guests and their representatives, e.g., speakers, performers, honorees, and dignitaries, in booking travel arrangements and itineraries. 

  • Organize pre-planning meetings with a facility in advance of the event. Participate in ongoing planning meetings with clients. 

  • Work with the creative director, event manager, and production team to develop ideas in each area that support the overall guest experience. 

  • Participate as requested in company ideation sessions and business development discussions. 

  • Provide timely content ideas to the marketing/social media lead related to our company's hospitality expertise and industry trends. 

 

Requirements 

  • Experience in the hospitality industry and understanding hotels and facilities' structure and services for events and group meetings. 

  • Demonstrate relentless attention to detail. 

  • Creativity to develop ideas and plans that help fulfill the event goals. Thrives in helping achieve outcomes that meet and exceed expectations. Professionally work with high-profile individuals and their representatives. Comfortable with multi-tasking in a deadline-driven work environment and is highly organized.
